Guide to Creating a Multi-Language Template

The template system is the perfect way to manage credit invoices in multiple languages. This guide shows you how to create a new template for a specific language, using French as an example.

Step 1: Navigate to the Custom Module

Go to the Credit Invoice Template custom module in your Zoho Books account.

Step 2: Create a New Template

You can either clone your existing "Default" template or create a new one from scratch.

  • Give it a clear name. For example, name the new template "Facture de Crédit - Français". This name will appear in the widget's dropdown menu, making it easy to select the correct language.

Step 3: Translate the Labels

Go through the template fields and change the English text to your desired language. You only need to translate the fields that appear as text on the PDF. Below is a comprehensive guide for translating each relevant field into French.

General Document Settings

  • Document Title: Change this to the main title in your target language.

    • Example (French): FACTURE DE CRÉDIT

  • Footer Text: Translate the closing message at the bottom of the PDF.

    • Example (French): Merci pour votre confiance.

Headers & Addresses

  • Supplier Section Header: The title for your company's address.

    • Example (French): De (Fournisseur):

  • Customer Section Header: The title for your customer's address.

    • Example (French): À (Client):

  • Supplier VAT ID Label / Customer VAT ID Label: The text that appears before the VAT number.

    • Example (French): N° de TVA:

Invoice Details Section

  • Invoice Details Header: The title for the block of information about the credit invoice.

    • Example (French): Détails de la Facture de Crédit

  • Credit Invoice # Label: The label for the credit invoice number.

    • Example (French): Facture de Crédit N°:

  • Date Issued Label: The label for the date.

    • Example (French): Date d'émission:

  • Original Invoice # Label: The label for the original invoice reference.

    • Example (French): Facture Originale N°:

  • Invoices Credited Label: The label for the section listing applied invoices.

    • Example (French): Appliqué aux Factures:

  • Subject Label: The label for the reason/subject of the credit.

    • Example (French): Objet:

Line Items Table Column Labels

  • Item #: The label for the item number column.

    • Example (French):

  • Description: The label for the item description column.

    • Example (French): Description

  • Quantity: The label for the quantity column.

    • Example (French): Qté

  • Unit Price: The label for the unit price column.

    • Example (French): Prix Unitaire

  • Tax %: The label for the tax percentage column.

    • Example (French): Taxe %

  • Tax Name: The label for the tax name column.

    • Example (French): Nom de la Taxe

  • Line Amount: The label for the total amount per line.

    • Example (French): Montant

Totals & Notes Section

  • Subtotal: The label for the subtotal before taxes and discounts.

    • Example (French): Sous-total

  • Discount Label: The label for the discount amount.

    • Example (French): Remise

  • Shipping Charge Label: The label for shipping costs.

    • Example (French): Frais de port

  • Generic Tax Total Label: The label for the total tax amount.

    • Example (French): Total Taxes

  • Total Credit: The label for the final credited amount.

    • Example (French): CRÉDIT TOTAL

  • Credits Remaining: The label for the remaining balance of the credit note.

    • Example (French): Crédit Restant

  • Notes Label: The title for the notes section.

    • Example (French): Remarques:

  • Terms Label: The title for the terms and conditions section.

    • Example (French): Termes et Conditions:

Step 4: Save and Use

Save the new template record. Now, when you open a credit note and look at the widget, your new "Facture de Crédit - Français" template will be available in the dropdown list. Selecting it will generate the PDF in French.

You can repeat this process for any language you need!
