Troubleshooting

Issue: The "Generate & Attach PDF" button is disabled or grayed out.

This usually happens for one of two reasons:

  1. Data is still loading: When you first open a credit note, the widget needs a few seconds to fetch all the necessary data from Zoho Books. Please wait a moment, and the button should become active. The status text in the widget will say "Ready for CN: [credit note number]" when it's good to go.

  2. Incomplete Credit Note: The widget requires a saved credit note with a creditnote_id and at least one line item to function. If you have just created a new credit note, make sure you have saved it first.

Issue: The template dropdown is empty or shows an error.

This indicates a problem with fetching your PDF templates. This can happen if the required permissions were not granted correctly, or if all existing templates (including the default one) have been deleted.

  • Check Permissions: Ensure the connection for the widget has been granted permission to access Custom Modules. Your Zoho administrator can verify this. This is the most common cause.

  • Verify Templates Exist: A "Default" template is installed automatically. If this has been deleted and no new templates have been created, the list will be empty. See Article 2 for instructions on how to create a new template.

Issue: The PDF was generated, but I received an error about attaching it.

This can happen if the credit note already has the maximum number of attachments. Zoho Books allows a maximum of 5 attachments per record. If the credit note already has 5 files attached, the widget will not be able to add the new PDF. To fix this, simply remove an existing attachment from the credit note and try generating the PDF again.

Issue: The generated PDF is missing my company's or customer's VAT ID.

The widget relies on specific custom fields to find VAT IDs.

  • For your company's VAT ID: Make sure you have filled out the Organization VAT ID Field Label field in your PDF template. This field must exactly match the label of the custom field where your VAT ID is stored in your main Zoho Books organization details.

  • For your customer's VAT ID: Make sure you have filled out the Customer VAT ID Field API Name field in your PDF template. This must be the API name (not the label) of the custom field in your Contacts module.

Q: Can I create more than one template?

A: Yes! You can create as many records in the Credit Invoice Template custom module as you like. Each record will appear as an option in the widget's dropdown menu. This is useful for having different templates for different types of customers or credit reasons.

Q: How do I create credit invoices in different languages?

A: The template system is the perfect way to manage credit invoices in multiple languages. Simply create and name a new template for each language you support (e.g., 'Credit Invoice - English', 'Facture de Crédit - Français') and translate the labels within that template record. See Article 3 for a detailed guide.

Q: Does the credit invoice show which original invoices the credit was applied to?

A: Yes. If the credit note has been applied to one or more invoices, the widget will automatically list these under the "Applied to Invoices" section on the PDF. It will include the original invoice number, the date, and the amount credited to that specific invoice.

Q: Where are the generated PDFs stored?

A: The generated credit invoice PDF is automatically attached to the specific credit note you have open. You can find it in the "Attachments" section on the credit note details page.

Q: Does this widget change any data in my credit note?

A: No. The widget only reads data from your credit note to generate a PDF. It does not write, edit, or delete any information on the credit note itself. Its only "write" action is to upload the final PDF as a new attachment.
