Advanced Guide to Customizing PDF Templates

This is where you can really make the widget your own! The template system allows you to control almost every aspect of the final PDF, ensuring it matches your company's branding and includes all necessary information.

How Templates Work

The templates are stored in a Custom Module within your Zoho Books account. To create or edit templates, you will need access to this module. Please contact your Zoho administrator if you cannot see it.

  • Custom Module Name: Credit Invoice Template

Each record you create in this module is a new template, and each field in the record corresponds to a specific part of the PDF.

Available Template Fields & What They Control

Here is a complete list of all customization fields available in the template. The names listed here are the labels you will see when editing a template record.

General Document Settings

  • Document Title: The main title of the document. Default: "CREDIT INVOICE".

  • Font: The font used throughout the document (e.g., "helvetica", "arial", "times").

  • Title Font Size: Font size for the main title. Default: 20.

  • Headings Font Size: Font size for section headers like "From (Supplier):". Default: 10.

  • Body Font Size: Font size for the main body text and table content. Default: 9.

  • Footer Text: The text that appears at the bottom of the last page. Default: "Thank you for your business."

Headers & Addresses

  • Supplier Section Header: The title for your company's address block. Default: "From (Supplier):".

  • Customer Section Header: The title for your customer's address block. Default: "To (Customer):".

  • Supplier Address Format: A multi-line text field to format your company's address. Use placeholders to automatically insert data.

    • Available Placeholders: {name}, {street1}, {street2}, {city}, {state}, {zip}, {country}, {phone}, {email}, {VAT}.

  • Customer Address Format: A multi-line text field for your customer's address.

    • Available Placeholders: {name}, {contact_person}, {street1}, {street2}, {city}, {state}, {zip}, {country}, {phone}, {email}, {VAT}.

  • Organization VAT ID Field Label: The exact label of the custom field in your Zoho Books organization details where your VAT ID is stored. For example, if you have a custom field labeled "Company VAT", you would enter "Company VAT" here.

  • Customer VAT ID Field API Name: The API name of the custom field in your Zoho Books contacts where the customer's VAT ID is stored.

  • Supplier VAT ID Label: The text label for your VAT ID (e.g., "VAT/Tax ID:").

  • Customer VAT ID Label: The text label for your customer's VAT ID.

Invoice Details Section

  • Invoice Details Header: Default: "Credit Invoice Details".

  • Credit Invoice # Label: Default: "Credit Invoice #:".

  • Date Issued Label: Default: "Date Issued:".

  • Original Invoice # Label: Default: "Original Invoice #:".

  • Invoices Credited Label: Default: "Applied to Invoices:".

  • Subject Label: Default: "Subject:".

Line Items Table

  • Table Header Fill Colour: The background color of the table header in RGB format. Example: 220, 220, 220 for light gray.

  • Table Header Text Colour: The text color of the table header in RGB format. Example: 0, 0, 0 for black.

  • Table Theme: The style of the table. Options are 'grid', 'striped', 'plain'. Default: 'grid'.

  • Column Labels:

    • Item #

    • Description

    • Quantity

    • Unit Price

    • Tax %

    • Tax Name

    • Line Amount

Totals & Notes Section

  • Labels for Totals:

    • Subtotal

    • Discount Label

    • Shipping Charge Label

    • Generic Tax Total Label

    • Total Credit

    • Credits Remaining

  • Notes Label: Default: "Notes:".

  • Terms Label: Default: "Terms & Conditions:".

By editing these fields, you can generate credit invoices that perfectly match your brand and contain all the information you need.
